Analytics and financial definitions

Choose the report branch, business date range and timezone before comparing numbers. Reports read saved records. They do not substitute current catalog prices for the final selling prices stored on invoices.

Measure How to read it

Net sales Active saved invoice totals less their saved tax; discounts/credits already

affect the saved amounts

Tax Saved tax on the included invoices, not a statement of tax remitted Recorded stock cost Persisted FIFO/eligible recorded allocations linked to those sales and

their repairs, counted once

Gross profit Net sales less recorded cost of goods sold

Net or operating profit Net sales less recorded stock cost and operating expenses within the

report definition

Dated collections Individual customer payments on payment dates, including payments

against older invoices

Current

receivable/payable

Current unpaid customer/supplier balances; not necessarily historical

balances at the date-filter end

Current stock valuation Remaining recorded lots at cost; a current-state measure

Date example

An invoice saved on Monday counts as Monday’s sale. A customer payment received on Friday counts in Friday’s collections. That payment should not increase Friday’s sales or gross profit. Changing the date range can therefore make sales and collections differ without either figure being wrong.

Incomplete information

Missing historical costs cause profit warnings or withheld summary profit. Repair charges are customer revenue, not labour expense entries. A dedicated complete repair labour cost ledger is not currently available. Supplier paid totals without individual dates stay separate from dated cash measures. A cash difference is not a counted cash drawer or a bank balance. Saving an invoice or posting a payment refreshes analytics from committed data. If a latest invoice is absent, check branch, date, saved status and whether the screen is local desktop reporting or cloud/mobile reporting before assuming it was lost.

Daily reports and preserved day close

Open Analytics > Sales reports for Daily, Weekly, Monthly, Month end and Custom periods. Use the report paper selector for 58 mm, 80 mm or A4 output.

Review and export

  1. Choose the intended branch and date/period. Inspect the inclusive range and displayed timezone.
  2. Review net sales, tax, invoice totals, discounts, recorded costs, profit and dated collections. Use the invoice list to inspect the relevant saved bills.
  3. Compare payment methods and operating expenses with the actual external records. Resolve unexpected totals before a day close.
  4. Choose the paper format and Print report, or use Export CSV. Verify printed content and retain the exported report according to store policy.

Manager day close

  1. Finish and synchronize relevant branch transactions. Confirm that no other till is still adding records for that business day.
  2. Choose Preview cloud day end while online. Review the cloud preview, selected branch/day and totals against the till’s records.
  3. Confirm the required all-tills acknowledgment only when true, then choose Close day & save Z report. This is a deliberate close, not another refresh.
  4. Wait for the preserved Z number and reopen the saved report to verify it. The saved snapshot remains unchanged as live reports refresh.
  5. Use Month end to review saved-day coverage and export preserved Z totals. A month with missing closed days is not a fully closed month. Closed-day guards reject supported changes to closed invoices/items/payments/expenses for that business day. Do not close a day early to test the button. If a missed or incorrect record belongs to a closed day, retain the evidence and use an approved accounting correction process rather than deleting the Z record.
