Roles and permissions
Role-based access controls which pages and native operations an account may use. A staff directory record alone does not create a login or grant permissions.
Role Typical access Access administration
Owner Store operations across authorized branches Assign operational staff
roles; protected account
Admin Store operations across authorized branches Assign operational staff
roles; protected account
Manager Sales, repairs, stock, suppliers, finance, reporting and
permitted settings Cannot assign login roles
Cashier Sales, customer payments, customers, stock lookup
and job viewing in the assigned branch No role assignment
Technician Repair work, parts consumption, customers and stock
lookup in the assigned branch No sales or payment posting
Branch limits
An assigned manager branch must restrict that manager’s working scope. An authorized manager with no branch allocation may have account-wide branch access. Owners and admins can work within their allowed store scope. Verify the branch selector after refreshing access or signing in again; opening a page does not grant permission to write every record shown there.
Protected accounts
Owner, Admin and self-account changes have additional protections. Use the platform administration process for ownership or protected-role changes rather than attempting to demote an account through the operational staff form. Do not reuse someone else’s PIN when access changes. If a role or branch change does not appear immediately, reload access online or sign in again. Previously verified offline access may remain valid until its lease expires. A UI description that appears broader than the actual branch allocation does not override server or native authorization.
Adding staff and assigning access
An Owner or Admin uses Settings > Roles & Access to create or manage operational staff logins. Be online for account creation and permission changes.
Create a login
- Open Roles & Access and choose Add staff. Enter first name, optional last name and the staff member’s individual login email.
- Select Manager, Cashier or Technician. Choose the intended branch. A manager’s blank branch can mean all permitted store branches, so use a specific branch when access should be limited.
- Enter or generate a temporary password. The current form requires at least 12 characters and enforces its maximum size. Do not put credentials into support logs or screenshots.
- Submit once and wait for the confirmed result. Share the credentials privately with the intended staff member. Ask them to sign in and change their password when prompted.
- Check the new account in the login list. Verify its role and branch from the staff member’s own session before assigning live work.
Change existing access
- Find the operational login in Roles & Access and choose Change access. Select the role and branch, then save.
- If the account changed while the form was open, reload access rather than forcing the stale form over the newer allocation.
- Use Reload access to confirm the result. A locally saved directory entry is not proof that a cloud login or role update succeeded. If Add staff is unavailable, confirm that you are online, have Owner/Admin permission and have no unfinished edit open. Protected accounts cannot be changed through this form. A manager can inspect relevant information but cannot use role assignment to increase their own access.
Branches and license allowances
The account license controls the branch allowance and enabled capabilities. Store staff cannot raise their own commercial limits. Keep a permanent branch identity for historical transactions.
Working in a branch
- Use the top-bar branch selector to choose an authorized branch before entering sales, repairs or stock. Confirm its name and code.
- Complete or park unfinished work before switching. If the app blocks the switch, follow the draft message instead of clearing browser storage.
- Use the branch filters in reports deliberately. A report with All branches has a different scope from the selected counter’s operating transactions.
- For a branch-scoped manager, cashier or technician, verify that another branch cannot be selected or used after the new allocation has been verified.
Managing locations
Use Settings > Team & Locations for the branch directory and permitted branch-management actions. Follow the form’s current license allowance and revision checks. Names and addresses can be editable, while permanent codes and historical allocation require protection. Do not create duplicate branches just to change a printed address.
Platform administrator controls
The separate admin portal provisions stores, maintains license state and expiry, sets branch limits and feature flags, and configures operating country/jurisdiction. A named pricing tier alone is not enough to infer every entitlement; inspect the actual license record. Confirm allowed branches and the relevant feature before promising the workflow to staff. When a quota or license error appears, retain the failed draft and contact the platform administrator. Do not bypass the limit with a second company, foreign branch ID or direct database edit.
Business profile and general settings
The admin portal owns Operating Country & Jurisdiction. The desktop manages ordinary business details and authorized local/general preferences. Once the account profile exists in the cloud, download it before making local edits.
Business profile
- Open Settings > Business Profile. Wait for the saved account profile to load. If settings have not downloaded, go online, finish synchronization and reload.
- Review the store name and business address. Update phone, email, city, region, postal code and tax identifiers where applicable. Do not enter placeholder tax or payment details.
- Upload the business logo and signature through the file controls. These are store receipt assets and can differ from the AUNSYS application icon.
- Save once, wait for confirmation and inspect the generated receipt preview. A document may use a branch address where that branch has its own recorded address.
System preferences
Review timezone, tax defaults, communication preference and receipt choices exposed to your role. Show Quick POS controls whether invoicing offers the quick checkout/catalog view. Turning it off leaves detailed invoicing available. Country and currency must follow the account’s managed jurisdiction rather than a local country preset. A stale settings form can conflict with a newer portal or device update. Reload settings to inspect the saved value before reapplying intentional edits. The app now blocks missing account records from becoming editable default profiles; this avoids a new India/INR draft overwriting a configured foreign store.
Settings ownership
Use the portal for operating country and the account’s default country/paper configuration. Use the POS for business contact details, uploaded store artwork, billing modes, permitted receipt design and ordinary operational preferences. Device-specific printer, scanner and display setup stays with the desktop.
